How to Write an RFQ That Gets an Accurate Quote in 24 Hours

Every RFQ tells us something about the buyer. The best ones let us respond with a firm price and a real lead time within a working day. The rest force us into two rounds of clarification before the quote is even meaningful.

What to include

  • DXF or STEP files (a PDF drawing is fine if native files are unavailable)
  • Material and grade — 'mild steel' is not enough; specify the grade
  • Quantity and target delivery date
  • Finish spec (galvanised? powder coat? RAL?)
  • Inspection requirements — any first-article or per-batch QC?

What you can leave out

Price expectations. Really. Anchor pricing tends to push suppliers toward the anchor rather than the honest cost. Ask for an unanchored quote first, then negotiate.
